Q: What are IMS office hours?

A: IMS office hours are Monday through Friday from 9:00 AM to 5:00 PM.

Association Dues & Payments

Q: When are association dues due?

A: Association dues are due according to the schedule established by your association and outlined in your governing documents or billing statements.

Q: How can I pay my HOA dues?

A: Homeowners may make payments through the homeowner portal or by approved payment methods established by the association.

Q: What happens if my account becomes delinquent?

A: Delinquent accounts may be subject to late fees, interest, collection activity, legal action, and additional costs in accordance with the association’s governing documents and applicable law.

Architectural Requests & Property Changes

Q: Do I need approval before making exterior changes to my property?

A: Yes. Most exterior modifications require prior written approval from the Architectural Review Committee (ARC) or association board before work begins.

Q: What types of projects usually require approval?

A: Common examples include fencing, exterior paint changes, sheds, landscaping modifications, decks, patios, roofing changes, and other exterior improvements.

Q: How do I submit an ARC request?

A: ARC requests may be submitted through the homeowner portal or by using the association’s approved architectural request form.

Violations & Community Standards

Q: Why did I receive a violation notice?

A: Violation notices are issued when a property condition or activity appears to be inconsistent with the association’s governing documents, rules, or community standards.

Q: What should I do if I receive a violation letter?

A: Homeowners should review the notice carefully, correct the issue if applicable, and contact IMS with any questions or concerns regarding the violation.

Q: Can fines be assessed for violations?

A: Depending on the association’s governing documents and applicable law, fines or additional enforcement actions may occur for unresolved violations.

Maintenance & Common Areas

Q: Who maintains the common areas?

A: Common area maintenance responsibilities are determined by the association and outlined in the governing documents.

Q: How do I report a maintenance concern in the community?

A: Maintenance concerns may be reported through the homeowner portal.

Q: Who is responsible for maintenance on my individual property?

A: Owner maintenance responsibilities vary by association and are governed by the association’s declarations, bylaws, and governing documents.

Meetings & Association Records

Q: How will I know when board meetings are scheduled?

A: Meeting notices are distributed according to the association’s governing documents and applicable legal requirements.

Q: Can homeowners attend board meetings?

A: Homeowner attendance policies are determined by the association’s governing documents and applicable state law.

Q: How do I obtain copies of association documents?

A: CCRs and all applicable documents may be accessed by your Resident Center portal.

Portal & Communication

Q: How do I access the homeowner portal?

A: Homeowner portal access information will be provided by IMS. The portal may be used for payments, account access, architectural requests, and association communications.  The link to login into your portal is https://integritymgmtsystems.managebuilding.com/Resident/portal.

Q: How should I communicate with IMS?

A: Homeowners are encouraged to communicate through the homeowner portal, email, or approved office contact methods for the fastest response.

Emergency Situations

Q: Who should I contact for after-hours association emergencies?

A: For association-related emergencies involving common areas or urgent community issues, homeowners should contact the after-hours emergency number provided by the association or IMS.
