Certificate of Assessment (COA) Processing Policy

 

To Whom It May Concern:

This correspondence serves as formal notice regarding Integrity Management Systems, Inc.’s policies and procedures concerning the processing and issuance of Certificates of Assessment (“COAs”) requested by attorney offices and closing firms.

All COA-related requests and communications must be directed exclusively to servicerequest@integritymgmtsystems.com.

Requests submitted to individual employees or departments will not be received nor processed, and shall not be considered officially received until submitted through the designated service request email address.

Integrity Management Systems, Inc. maintains its own standardized COA document, which will be provided by IMS upon request. There is no requirement for the requesting attorney’s office to submit its own COA document or questionnaire for completion.

Upon receipt of a completed COA request through servicerequest@integritymgmtsystems.com, our office maintains a standard processing and return timeframe of five (5) business days. These (5) business days exclude weekends and all federal holidays.  The five (5) business day processing period shall begin upon receipt of the completed request, and all required supporting information, and extends through, and includes up to the closure of business at 5:00 pm on the fifth business day. 

Integrity Management Systems, Inc. is comprised of extremely active management offices that processes numerous lender requests and Certificates of Assessment (“COA”) requests each week. Requests are completed and returned in the order in which they are received to ensure fairness, consistency, and operational efficiency for all parties involved.

Any request requiring completion and return in fewer than five (5) business days shall be considered a rush request and will require an additional rush processing fee of $100.00.

The standard fee for preparation and issuance of a Certificate of Assessment is $250.00. Any expedited request submitted within the standard five (5) business day processing period shall require the standard COA fee of $250.00, plus the additional $100.00 rush processing fee.

Please further note that if a COA is initially issued for a particular month and the closing is subsequently delayed into a following month, any requested revision, update, or reissuance of the COA shall require an additional revision fee of $100.00.

All COA fees, rush fees, and revision fees are non-refundable once processing has commenced.

While Integrity Management Systems, Inc. understands that the funds held at closing for compensation from the COA are generally derived from buyer and seller proceeds, it remains the responsibility of the requesting attorney and/or law firm to ensure that payment is timely remitted to our office.

Payment is due immediately upon closing unless otherwise agreed to in writing by Integrity Management Systems, Inc.  Failure to timely remit payment may result in collection efforts being pursued directly against the requesting law firm.

Professional communication and mutual respect between offices is expected at all times. Integrity Management Systems, Inc. maintains established policies, procedures, timelines, and processing standards in order to effectively manage a high volume of requests. Requests for expedited processing, repeated follow-up communications regarding existing processing timelines, or unprofessional communications toward IMS staff will not alter the established processing schedule.

 

While every effort is made to accommodate closing timelines whenever reasonably possible, Integrity Management Systems, Inc. respectfully requests that attorneys, paralegals, lenders, and closing coordinators allow the full processing timeframe before requesting status updates or expedited handling.
